Privacy Policy

Tohoku University KnowledgeCast Co., Ltd. (hereinafter referred to as “the Company”) has established the following Privacy Policy (hereinafter referred to as “this Policy”) regarding information that can identify individuals, such as customers, business partners, employees of partner companies, and Company personnel (hereinafter referred to as “Personal Information”). The Company will comply with the Act on the Protection of Personal Information (hereinafter referred to as the “Personal Information Protection Act”) and other relevant laws, regulations, and guidelines, and will handle such information appropriately and strive to protect it in accordance with this Policy.

1. Collection of Personal Information

When collecting personal information such as names, affiliations, email addresses, and telephone numbers, the Company will do so through lawful and fair means to the extent necessary for business operations, and will use such information appropriately in accordance with the Act on the Protection of Personal Information , and other relevant laws, regulations, and guidelines. The Company primarily collects personal information through the following methods.

  • (1) Receiving personal information directly from customers
  • (2) Automatically recording personal information when customers use our services
  • (3) Methods of receiving customers’ personal information indirectly from partner companies and other entities
  • (4) Methods for obtaining personal information disclosed in publications, on the Internet, or elsewhere

2. Purposes of Use of Personal Information

The Company uses personal information for the purposes listed below.

  • (1) To conduct various projects organized or co-organized by the Company and related operations
  • (2) To respond to inquiries from customers (including identity verification)
  • (3) To conduct analyses aimed at improving the quality of our services and to understand customer feedback and requests
  • (4) To perform tasks entrusted to us by other businesses
  • (5) To conduct operations related to employee recruitment, hiring, and other related matters
  • (6) To use the information within the scope necessary for our business operations

3. Use of Pseudonymized Information

When conducting data analysis or in other situations where it is not necessary to identify specific individuals, the Company creates and uses pseudonymized information (personal information that has been processed so that specific individuals cannot be identified and cannot be restored to its original form). Pseudonymized information is created and managed in accordance with Article 36 of the Personal Information Protection Regulations. It is used solely within the Company and is not provided to third parties.

5. Disclosure to Third Parties

We will not provide personal information to third parties except in the following cases.

  • (1) When we have the customer’s consent
  • (2) When disclosure or provision is required by laws, regulations, or other legal provisions
  • (3) When providing personal information to a subcontractor within the scope necessary for the performance of our business, provided that the subcontractor is obligated under a subcontracting agreement to implement the personal information protection measures established by us and is managed to ensure the appropriate handling of personal information
  • (4) In cases of joint use

6. Security Measures for Personal Information

The Company shall take necessary and appropriate security measures as described below to mitigate risks such as unauthorized access to, leakage, or loss of personal information.

  • (1) We will manage personal information so that it remains accurate and up-to-date.
  • (2) We ensure the security of personal information usage (preventing unauthorized access, loss, destruction, tampering, and leakage, etc.).
  • (3) Access to databases and file systems containing personal information will be strictly managed through user-level access restrictions to prevent unauthorized use.

7. Disclosure, Correction, and Suspension of Use of Personal Information

Regarding personal information held by our company, if a request for disclosure, correction, or suspension of use is received from the individual concerned, we will respond within a reasonable period and scope only after confirming that the requester is the individual themselves or a person authorized by them.

8. Cookies and Similar Technologies

  • (1) We use cookies to analyze website users’ browsing behavior and other data through analytics and marketing tools, and to improve the usability of our website services.
  • (2) While cookies are used to identify web browsers, they are configured in a way that prevents the identification of specific individuals, thereby ensuring anonymity.
  • (3) If you do not wish to use cookies, you can disable them in your web browser settings.

9. Continuous Improvement of Personal Information Protection Measures

We ensure that our officers, employees, joint users, and contractors to whom we provide personal information are fully informed of our personal information handling procedures, and we constantly strive to improve and enhance these practices.

10. Revisions to the Privacy Policy

We will revise this Privacy Policy as necessary from time to time.
